We are looking for an executive assistant to support the President of Global Marketing & Sync and the SVP of Operations.




TITLE: Marketing & Operations Assistant


REPORTS TO: President of Marketing and Senior Vice President of Operations


LOCATION: Beverly Hills, California

Responsibilities

  • Provides day-to-day executive support, including managing executive contact list, outreach, and booking conference rooms/reservations.

  • Manage calendars for both executives and ensure invites are up-to-date with the right office location, conference room, video conference details, and participants. 

  • Processes key invoices in Jotform across the Operations & Marketing departments.

  • Consistently driving, communicating and updating administrative tasks on behalf of both executives.

  • Prepare concise briefs, dashboards, and post-mortems capturing performance, insights, and ROI.

  • Send weekly highlight / recap emails on behalf of marketing and operational efforts. 

  • Liaises with vendors, supports onsite events, and event planning needs across the record label as needed, including company town halls.

  • Sends key info and initiatives company wide, including managing necessary company surveys.

  • When needed, helps drive facility operations, including parking validation requests, submitting maintenance requests, and scheduling office vendors and repairs.

  • Assist in assigning task owners, and helps drive deliverables across Marketing, Creative, Digital, Merch, and Production to ship on time.

  • Manages reporting needs, maintains key trackers, and handles ad hoc requests based on executive needs. 

  • Helps set up newly hired contingent workers and consultants for the Label.

  • Completes research on developing AI tools, platforms, competitive marketing plans, roll outs and campaigns.

  • Orders company plaques, seeing through to payment and shipping.

  • Covers and operates the front desk as needed in the Beverly Hills Office, when the Receptionist is out.


Beneficial Experience


  • Experience in completing a Marketing internship, ideally within the music/entertainment industry.

  • Experience in Box, Jotform, and Zoho Expense. 


Requirements:

  • Prior executive support or operational coordination experience (calendar, travel, reporting, vendors, events).

  • Experience required in Mac OS, G Suite, Adobe, and Microsoft Office.


Education

  • College degree preferred


Budget: $19 - $20/hourly rate
